Holiday problems often begin with ordinary information that nobody remembered to update. A booking calendar remains open during a closure, an old banner promises a fast reply, or the only person receiving enquiries is away. Prepare these details before the busy period so customers know what is available and your team can manage expectations.
Write down the actual operating plan
Confirm closure dates, reduced hours, last service dates and the person handling urgent messages. Distinguish the office closing from the business stopping all work. If you have different arrangements for new and existing customers, make those differences clear.
Create one approved version of the information, then update the website, business profile, booking tool and email response. Google allows businesses to manage their public information, and its local visibility guidance emphasises complete, accurate details. Consistent hours also help customers avoid unnecessary calls.
Check what customers can still book
Try to select a date during your closure. If the system permits it, decide whether that is intentional. Check lead times, staff calendars and confirmation messages. A booking button should not imply that a request is accepted when it still needs manual approval.
For service businesses, publish a realistic enquiry deadline without promising capacity you have not confirmed. For a shop, obtain actual fulfilment information before announcing order cut-offs. This article does not supply universal delivery dates; those depend on your operation and providers.
Make the notice useful on mobile
Place a short notice close to the affected action. “Office closed from X to Y; enquiries reviewed from Z” is more helpful than a festive image with tiny text. Keep essential details in ordinary page text and avoid a pop-up that covers the entire form on a phone.
Give visitors an appropriate next step. They may be able to leave a non-urgent request, choose a later appointment or contact an available service line. Only advertise an emergency alternative if it exists and is staffed. Test every link after the notice goes live.
Plan the return to normal
Set an owner and removal date for seasonal notices. Keep a checklist for reopening: restore normal hours, review queued enquiries, confirm calendar availability and remove expired offers. Forgotten holiday messaging can make an otherwise active business look unattended.
A week before the break, perform one end-to-end test with the person covering enquiries. Ask them to locate the message and explain how they would handle it. This checks the process around the website as well as the website itself, which is where many avoidable handover problems occur.
